Org Role: How to Create

To share datasets and dashboards with users within your organizations, the Primary Account holder (and others' granted the necessary permission) creates IntelliBoard Users (IB Users) who each have an Organizational Role.   An Organizational Role is a template of datasets and permissions, which can be granted to several IB Users. 

Examples of Organizational Roles may include, but are not limited to:  1) Instructor Organizational Role; 2) Learner Organizational Role; 3) Course Admin Organizational role, 4)  All Access Organizational Role. 

 

Before you get started... 

  • You have to set up two components: 1) Organizational Role and 2) IB User.  

  • You must create an Organizational Role BEFORE creating an IB User.

In Platform Navigation: 

1) Under your avatar in the top right corner, click on "Manage IB Users". 
2) From IB Users, click "Manage" under "Organizational Roles".

 



How do I create an Organizational Role? 

From your Avatar, click "My IB Users".  

Then click, "Manage" under Organizational Roles.

Then click "Add Role". 

 

Organizational Role Components

Role Information

  Role Name    Text box; Name your Org Role
  Status    Drop down; Active or Inactive

 

Important Considerations:

An Organizational Role must be active in order to assign to an IB User; to access IntelliBoard an IB User must have an activate Organizational Role. 

 

Connections

  Connections   Check box;  Select the connection(s) you wish to assign to the Org Role

 

Important Considerations:

The (ID: Number) is the unique connection ID to your connection for your IntelliBoard subscription.  This is valuable if you decide to create IB Users through the Import.  

 

My Organization's Datasets 

My Organization's Datasets are any dataset (dashboard, tabular or chart) which has been created, published and approved by your Organization. 


Default Dashboards 

Dashboards is a group of datasets, organized through the Builder into one Dashboard. 
The Default Dashboards section is all of the default Dashboards IntelliBoard has created.  
These are natively found in the Library.  

 

Default Tabular Datasets


A dataset is a single component.  A tablular dataset is a table of data, with rows and columns.   (IntelliBoard calls more visual datasets "Charts".)

Default Chart Datasets

 

A dataset is a single component.  A chart dataset is a table of data, with a visualization (bar chart, pie char, scatter, etc).

InForm Data Entry Forms 


The InForm feature allows an end user to create a form that accepts data.  This allows users to type and save information into IntelliBoard to later be leveraged inside the Builder. 

This features is used natively in the platform with InContact; where users are able to type information in about student behavior or communications.  The data that is entered through InContact and stored in an InForm table.  In other words, the InForm Data Entry Form are available in a published report, allowing the user to type into the report.  

This data is then saved in an InForm Table, which can be used in the Builder. To allow users to have access to either build with these tables or have this data inside their reports, please enable the corresponding tables.  

Recommendations:

  • Datasets or Dashboards that leverage this data will automatically be turned on.  Please do not uncheck automatically enabled selections or the data will not be available to the end users. 
  • For IB Users who will have Builder privileges, tables must be enabled to appear in the Builder.

Example with InContact: Communication Types
At my institution of higher education, we document academic advising appointment highlights in InContact.  Academic Advisors type these notes into InContact and they are stored in an InForm Data Entry Forms.  As the Director of Academic Advising, I'd like a report to share with the Academic Advisors of all the notes they've written in the last two weeks.  I would need to enable these InForm Data Entry Forms to allow my Academic Advisors to 1) enter information about their students and 2) see the notes they entered in an aggregate report. 

Because IntelliBoard leverages this feature natively with InContact, there will be tables for Log Types, Logs, Contact Information by default.  These do not have to be enabled. 

Organization's Calculations

Calculations are created through the Builder and then saved as a unique datafield.   This allows the organization to create a calculation that can be applied to several different datasets. 

Recommendations:

  • Datasets or Dashboards that leverage the calculation will automatically be turned on.  Please do not uncheck automatically enabled selections or the calculations will not be available to the end users. 
  • For IB Users who will have Builder privileges, calcuations must be enabled to appear in the Builder.

 

Default Calculations

The Default Calculations section is all of the default calculations created by IntelliBoard.

Calculations may be included in default reports and datasets.  

Recommendations:

  • Datasets or Dashboards that leverage the calculation will automatically be turned on.  Please do not uncheck automatically enabled selections or the calculations will not be available to the end users. 
  • For IB Users who will have Builder privileges, calcuations must be enabled to appear in the Builder.

 

Optional Settings

  IntelliCart LTI

  Check box; IntelliCart is a separate ecommerce tool.  If IntelliCart is in use and this Org Role will leverage the LTI, please enable.

 

Admin Permissions

Admin Permissions are enabled with a check box and control the IntelliBoard features available to the IB User.

  Manage IB Users   Create, Edit, Delete IB Users
  Manage Org roles   Create, Edit, Delete Org Roles
  Report Builder   Create, Edit Dashboards, Datasets, Charts
  Connection Settings   Create, Edit, Delete Integrations, SubConnectors
  InForm   Create, Edit, Delete additional data tables
  Predictive Models   Create, Edit, Delete Predictive Analytics/Machine Learning
  Notification Creator   Create, Edit, Send Notifications (Reports or Direct Messages)
  Approving Pending Datasets   Approve Dashboards and Datasets created by your Organization
  Manage SFTP Connections   Create, Edit, SFTP Export (Notification Creator) or Import (InForm)
  Impersonate    Allow IB Users to log in as other IB Users to help troubleshoot.

 

Dynamic Tables by LMS Connection

Dynamic Tables are organized by the LMS connection.  They are the tables that are unique to the particular LMS.  

Recommendations:

  • Datasets or Dashboards that leverage the dynamic table will automatically be turned on.  Please do not uncheck automatically enabled selections or the dynamic tables will not be available to the end users. 
  • For IB Users who will have Builder privileges, dynamic tables must be enabled to appear in the Builder.
