Searching, Using Filters, and Settings Dates Overview 

Your time is too valuable to sift through all your data.  Find what you need by narrowing dates and filters. Information on Searching, using Filters, and the Date field for great reports is just below.


  • Search: Type into the Search box to filter data based upon a specific word within the chosen report.

Note: This specific Search Word is made 'searchable' by clicking on Personalize Report at top, and enabling the column of your choice where this word is found under 'Enable to Search Column on Report'!

  • The Filters to the right of the Search box allow you to choose specific parameters for your search. This will narrow the scope of your search field.  These filters are based on your Moodle Course and Cohorts lists and default to the first Course on the list, so don't hesitate to change those filters.  Don't forget to remove the specific filter if you want to see all the data in a future report.
  • Adding Custom User Profile Fields


Once you click on the Personalize Report button at the top of your report you will come to the Report Settings page. 

Here you can:

Rename your report if you wish to make the name more specific for your audience.

Choose Custom User Profile Fields to appear in your report, or remove from your report if they are already present. Just click the fields on/off as you wish.

Make your report visible in a specific Moodle LMS, if you have more than one LMS connected.

Add or Remove columns from your report by clicking them On/Off.

Choose a report field to make it Searchable from the Search box.

Important Note: Some reports are designed from the perspective of the date the student record was created in Moodle, and not from date when the student was enrolled in the course. Please keep this in mind when selecting your report date parameters.

Step 1: Click on the 'Filter By' dropdown and choose the criteria that most represents your objective for the query keeping in mind the above note.

Step 2: Click on the All Time date filter to choose your date criteria. Please see screenshot below!

  • You will first have a list of preset common reporting periods.
  • For a more specific date range click on Custom and use calendar.

The first time you access the All Time calendar dropdown it may be grayed out, just click on it to 'activate' it. 

There are common preset periods to choose from, or you can click on Custom to choose a specific date range.

Note: if choosing a specific date range make sure to click on the Year to choose a different year!
