CONCEPT + FAQ: IntelliBoard Users (IB Users)

To share datasets and dashboards with users within your organizations, the Primary Account holder (and others' granted the necessary permission) creates IntelliBoard Users (IB Users) who each have an Organizational Role.  An IB User is a credentialed account within IntelliBoard; this credentialed account can have specific data assignments to only see certain datasets. 

Before you get started... 

  • You have to set up two components: 1) Organizational Role and 2) IB User.  

  • You must create an Organizational Role BEFORE creating an IB User. 

What is an IB User account?

An IB User is a credentialed account for an individual person to access IntelliBoard.net. An email address serves as the unique identifier for credentialing purposes. An IB User account must first be assigned an Organizational Role, and then data assignments may be applied to the IB User account to limit which datasets an IB user can see. 

An IB User accout leverages a unique email; we recommend that the IB user email matches the primary email saved in the LMS.

For example, Sarah Smith is a District Manager who needs completion datasets.  Her Organizational Role is District Manager, this is assigned to her IB User, sfrances@exampleeemail.com

Under your avatar in the top right corner, click on "Manage IB Users". 

 

Who has access to manage IB Users? 

The Primary Account holder automatically has access to create additional IB Users.

The ability to manage IB Uers may be given to others as an Admin Permissions inside Organizational Roles.  To allow other people at your Organization to create, edit, clone or delete an Organizational Role, please allow "Manage IB Users" under the Admin Permissions. 

 



How many IB Users may I have?

No limit; your organization may have as many IB User Accounts as you need.  We want your organization - from executive leadership to learner - to have access to make data-driven decisions.  

Note that instructors and learners still may have access to their data through the Instructor and Learner Role LTIs.

Is an IB User the same as an LMS account? 

No, but we recommend that the IB User has the same email for both their IntelliBoard account and their pirmary LMS email.  This will allow the IB User to have access to their datasets through the LMS after the LTI is enabaled.

 

What is the difference between an Organizational Role and IB User? 

The Organizational Role is a type of role; the IB User is an actual person. The Organizational Role is a template of reports; the IB User is the specific credentialed account for IntelliBoard. The Organizational Role is assigned to a specific IB User. 

For example, Dean Jane Smith is a specific IB User, who has the Organizational Role of Educational Dean. 

 

Why does an IB User have to have an Organizational Role?

Beyond the Primary Account holder (who has all permissions by default), each IB user is required to have an Organizational Role to dictate the account permissions within IntelliBoard. 

 

How do I create an IB User? 

From your Avatar, click "My IB Users".  

Then click "Add IB User".  

You have 3 options to create IB Users:
1) Create IB User:  Create one user manually (best for initial start up and pilots) 

2) Sync IB Users:  Leverage the LMS permissions and details to create IB Users (recommended) 

3) Import IB Users:  Upload users through a CSV sheet

How do I activate or deactivate an IB User? 

You can activate an IB User two ways:
1) From the IB User Table
2) From within the IB User 

1) From within the IB User Table

Note the Status column; a blue filled dot indicates the IB User is active.  A white dot indicates the IB User is inactive.

You can change the status by clicking on the dot.

 

2) Edit the Organizational Role

Upon editting the IB User, you'll see a "Status" drop down.  Select "Active" and click save.

 

Why is an active IB User important?  Can I deactivate an IB User?

To access IntelliBoard, the IB User must have an active Organizational Role and be an active IB User.

Allowing users to activate and deactivate roles allows for regular account maintenance.
